Title of the Project: Electronic Student Self Service

The proponent of the Project: Student department service at Life School in Dallas, Texas. It is a tuition-free public school, and it has various campuses across Dallas.

Provide a summary of your chosen project.

I selected this as my project in the service plan for the students of Life School. For the last two years, I have been working in the organization as a case manager. Despite being a free tuition school with various colleges across Dallas, the school is still growing. Therefore, to have better results and faster growth, the institution needs this project to enable them efficiently attract many students not only from Dallas but from all over Texas and the United States. The project will be essential for capturing the information from new students and making the registration process more friendly. Unfortunately, the school does not have an efficient and effective process, and most students often are forced to perform their various assessments on paper. The project is a real and effective one for that matter, and it will make the lives of students and teachers easier than it is today.

Describe at least three project goals and three project objectives.

By successfully implementing the above project, it attains the below goals

  • To create a process in the institution that allows service providers to service various students efficiently.
  • Secondly, the project aims at a collaborative planning process for students and the institution.
  • To proactively use the given data so that the institution can achieve greater and improved student outcomes.

The Project Objectives

From the first-day students register and enter into Life School, the instructors and teachers immediately prepare them for military, college success, or career. As a result, the school has a high graduation rate through student character training, strong academics, and stronger parental guidance. Therefore, the main objectives of the project include the following;

  • Use quantitative data provided by various departments to measure and quantify their performances. Doing so will enable the institution to secure additional resources that might be necessary for performance improvement.
  • The second objective of the project is to help the institution identify high-risk students using the data on a student’s profile. It might facilitate the organization to come up with various interventions to help these students.
  • The project also aims at giving providers like the military a glance view of what various students may need.
  • The project aims at making the student’s work easy in the completion of their institution profile.

Identify the key customers and at least two stakeholders for your project. Remember, you are delivering the project to your customer(s); however, others (stakeholders) have a vested interest in your project.

As earlier mentioned, the project will not only be essential to students, but it also will be to various staff members and teachers in the institution in various ways. For example, my project will be used by staff members to evaluate their job performances. Evaluating job performances will enable the institution to recognize a problem as soon as possible, hence coming up with various interventions to solve it in real-time. The stakeholders in the project will include students as they are the main users of this project. It will make their life easier by making their registration portable and faster than the current paperwork that the institution needs. They will get real-time services by using this project, and the information they put in the institution portal will be easily accessible to their teachers and them. In addition to the students, the community as a whole would be stakeholders for this project. This applies to the members of the community who would want to apply for any coming semesters. The project will make it possible for them to make their applications from wherever they are without physically being within the school.

Describe at least three key milestones and/or deliverables for your project.

The three essential deliverables in the project may include the following.

  • The project will play a vital role in enabling the institution to capture the student details that are not on their profile. In addition to this, in case of any changes in the student’s profile, they will be able to edit the data without going physically to the institution.
  • The project has a student’s guide on its page. Therefore, it will act as a meu of the various services in the institution. The various options will enable the institution to have a collaborative planning and quality collection of data. It is so because the students will have to fill in the different options available on the menu to ensure that every essential data about them is correctly captured.
  • The ISP data will make the providers of the institutions aware of how the different departments meet the students’ educational and extracurricular needs.
  • Lastly, the project will make it possible and easier for providers to see progress and prioritize work. In case there are no signs of progress or changes in the evaluation, providers will recognize the consistency of a problem and look deeper into what could be the problem.

Describe a high-level timeline that includes key tasks and deadlines.

The project will include a six-step procedure to create, implement, and train the users to understand what it is about.

Step 1: the first step in the project timeline is creating a sub-committee that will entail professionals from various departments. These individuals will be involved in making the draft. It is essential to have a representative from every department to be easier during training as every department member will train their teams.

Step 2: After coming up with the draft, the sub-committee will be responsible for presenting the draft to the Student Department’s Service director. Doing so will help us get feedback from the director and board clarifications.

Step 3: After getting the director’s feedback on the project, the draft and feedback will be presented to the committee and team to let them know what the director and board think.

Step 4: in this step, we will develop the final draft after making the changes considering the director’s feedback. After this, we will seek the administration’s final approval to test the project in the school system.

Step 5: this is the stage of the final presentation. We will have made the necessary changes and recommended adjustments on the project; hence, we will have the project’s final presentation.

Step 6: After making the changes and coming up with the project’s final presentation, it will be ready for implementation. In this stage, we will train the users like students and staff members on how to use it.

From the research I have done on the project, the project’s overall cost will be approximately 2,000 dollars. There is nothing much, and all it requires the users to have is smartphones, computers, laptops, tablets, and available internet. 99% of the United States’ population have smartphones, and it will not require them to get new gadgets as they will make use of what they already have. The budget can be further broken down into the following;

The three main risks my project may experience may include the following.

  • Resistance to change– this is a common case that new projects often experience. People are afraid of changes, and departments may give various reasons why the project is unnecessary (Lundy, 2013). On this, I will focus on teaching the management the importance of the project and how it will make their lives easier if they give it a chance and implement it.
  • Budget Risk– the approximated budget for the project is 2000 dollars, but we may experience cost overruns. For the budget risk, I will manage them by analyzing the available external factors and the internal factors that may hinder the project (Adeleke et al., 2018). In addition to this, I will ensure I have some cash set aside in case I run into such problems.
  • Disputes– The project’s implementation may lead to disputes between the committee and the administration, hence potential delays. To avoid dispute risks in the project, I will ensure we have regular meetings and communications. I will ensure openness.

Identify how you plan to stay on track.

I plan on staying on track by involving other people in the project. For instance, I will involve my close friends and family members. I believe they will give me the push and pressure I need to keep me on my toes. I also plan on staying on track by having a deadline. Having a deadline is essential and keeps one on toes by making them work to beat the deadline.
